Plain English summary: By using HELIX Hub you agree to these terms. We provide a SaaS platform. You own your data. We charge monthly. You can cancel anytime. Don't misuse the platform.

1. Introduction

These Terms of Service ("Terms") govern your use of HELIX Hub, a software-as-a-service platform ("Service") operated by Iyra Digital Ltd ("we", "us", "our"), a company registered in England and Wales.

By creating an account or using the Service, you agree to be bound by these Terms. If you do not agree, you must not use the Service. These Terms form a legally binding agreement between you and Iyra Digital Ltd.

We may update these Terms from time to time. We will notify you of material changes via email or in-app notification. Continued use after any change constitutes acceptance of the new Terms.

2. Accounts & Registration

To use HELIX Hub, you must create an account with a valid email address. You are responsible for:

  • Maintaining the security of your account credentials
  • All activity that occurs under your account
  • Ensuring all information provided is accurate and up to date
  • Promptly notifying us of any unauthorised access at hello@helixlondon.co.uk

You must be at least 18 years old to create an account. Accounts are non-transferable without our prior written consent.

3. Services & Plans

HELIX Hub is offered under four subscription tiers: Free Trial (7 days), Growth (£97/mo), Agency Starter (£249/mo), and Agency Unlimited (£399/mo). Each plan includes different features and usage limits as described on our pricing page.

7-Day Free Trial

New users receive a 7-day free trial with full access to the Growth plan features. No credit card is required to start a trial. At the end of the trial, your account will be downgraded unless you select and pay for a plan.

Add-ons

Optional add-ons (AI Image Creation at £19/mo, AI Video Creation at £39/mo) are available at additional cost and may be added to or removed from your subscription at any time.

We reserve the right to modify, suspend, or discontinue any feature of the Service with reasonable notice to users.

4. Payment & Billing

Paid plans are billed monthly in advance. Payment is processed via Stripe. By providing payment details, you authorise us to charge the applicable fees each billing cycle.

  • All prices are in GBP / USD / EUR / AUD and inclusive of any applicable VAT
  • Subscriptions renew automatically unless cancelled before the renewal date
  • Downgrade or cancellation takes effect at the end of the current billing period
  • No refunds are issued for partial months, except where required by UK consumer law
  • We reserve the right to suspend access if payment fails after two attempted charges

Annual plan discounts, where offered, are non-refundable after 14 days unless the Service experiences significant downtime (greater than 48 consecutive hours).

5. Acceptable Use Policy

You agree not to use HELIX Hub to:

  • Send unsolicited bulk messages (spam) or violate anti-spam laws including global marketing law (PECR / CAN-SPAM / CASL) and GDPR
  • Distribute malware, phishing content, or other harmful material
  • Harass, threaten, or harm any individual
  • Infringe any third-party intellectual property rights
  • Circumvent any security or access controls
  • Resell, sublicense or white-label the Service without written authorisation (Agency plans include limited white-label rights as described)
  • Use the Service for any unlawful purpose under applicable law in your jurisdiction

We reserve the right to suspend or terminate accounts found to be in violation of this policy, with or without prior notice, at our sole discretion.

6. Intellectual Property

Your data: You retain full ownership of all data, content, and materials you upload or create within HELIX Hub ("Customer Data"). You grant us a limited, non-exclusive licence to process and store your Customer Data solely to provide the Service.

Our platform: All software, design, branding, trademarks, and content of HELIX Hub is owned by Iyra Digital Ltd or its licensors. You may not copy, modify, distribute, or reverse-engineer any part of the platform.

Feedback: If you provide suggestions or feedback, we may use these to improve our Service without obligation to you.

7. Limitation of Liability

To the maximum extent permitted by applicable local law, HELIX Hub and Iyra Digital Ltd shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or business opportunities.

Our total aggregate liability to you in connection with these Terms shall not exceed the total fees you paid to us in the 12 months preceding the claim.

The Service is provided "as is" without warranties of any kind, express or implied. We do not guarantee uninterrupted or error-free operation, though we aim for 99.5% uptime.

Nothing in these Terms excludes liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded under English law.

8. Termination

You may cancel your account at any time from your account settings or by emailing hello@helixlondon.co.uk. Access continues until the end of your paid billing period.

We may terminate or suspend your account immediately, without prior notice, if you:

  • Breach these Terms in a material way
  • Fail to pay amounts due after two failed payment attempts
  • Engage in fraudulent, abusive, or illegal activity

Upon termination, you may request an export of your Customer Data within 30 days. After this period we may delete your data in accordance with our data retention policy.

9. Governing Law & Disputes

These Terms are governed by the laws of England and Wales. HELIX Hub Ltd is incorporated and registered in England and Wales. By using the Service, you agree that any disputes shall be subject to the non-exclusive jurisdiction of the courts of England and Wales.

Nothing in this clause limits any mandatory consumer protection rights you may have under the laws of your own country. Where local consumer law requires, you retain the right to bring proceedings in your local courts.

Before initiating legal proceedings, both parties agree to attempt to resolve disputes informally by contacting us at hello@helixlondon.co.uk. We will respond within 10 business days.

Consumers in the EU may also access the European Commission's Online Dispute Resolution platform at ec.europa.eu/odr. UK consumers may refer disputes to the UK's Alternative Dispute Resolution (ADR) scheme. Australian consumers may contact the ACCC or their state fair trading office.

1. Introduction

HELIX Hub Ltd ("we", "us") operates HELIX Hub at hub.helixlondon.co.uk. This Privacy Policy explains how we collect, use, store, and protect personal data in compliance with applicable data protection laws worldwide, including the UK GDPR, EU GDPR, California Consumer Privacy Act (CCPA), Canada's PIPEDA, Thailand's PDPA, and equivalent legislation in other jurisdictions. Where local law provides additional rights or protections, those apply in full.

We act as a Data Controller for the personal data of our customers and website visitors. For data you store about your own customers within HELIX Hub, you are the Data Controller and we act as your Data Processor. This means we process that data only on your documented instructions and never use it for our own purposes.

2. Data We Collect

Account & Registration Data

  • Name, email address, business name
  • Password (stored as a hashed value — never in plain text)
  • Payment information (processed by Stripe — we do not store card numbers)

Usage Data

  • IP address, browser type, device information
  • Pages visited, features used, session duration
  • Clicks, form submissions, and navigation patterns

Customer Data (data you store in HELIX Hub)

As a Data Processor, we store the contact records, emails, messages, and other data you choose to manage within the platform. This data belongs to you and is subject to our Data Processing Agreement.

Communications

If you contact our support team, we retain records of the communication to resolve your query and improve our service.

3. How We Use Your Data

We use personal data to:

  • Provide, operate, and improve HELIX Hub
  • Process payments and manage your subscription
  • Send transactional emails (account, billing, security alerts)
  • Send product updates and marketing emails (you may opt out at any time)
  • Comply with legal obligations
  • Detect fraud and abuse
  • Analyse usage patterns to improve the platform (using anonymised data where possible)

Our legal bases for processing under GDPR & global privacy law are: contract performance, legitimate interests, legal obligation, and consent (where applicable).

4. Data Sharing

We do not sell, rent, or trade your personal data. We share data only with:

  • Stripe — payment processing
  • Brevo / Mailgun — transactional email delivery
  • Twilio — SMS and WhatsApp delivery
  • Cal.com — booking calendar integration
  • OpenAI — AI feature processing (data is not used to train models under our enterprise agreement)
  • Hosting providers — server infrastructure (global data centres (EU, US, APAC))

All third-party processors are subject to Data Processing Agreements and are GDPR-compliant. We may disclose data to law enforcement when legally required.

5. Data Retention

We retain personal data for as long as your account is active. After cancellation:

  • You may export your data within 30 days of cancellation
  • Account data is deleted after 60 days
  • Billing records are retained for 7 years as required by UK tax law
  • Anonymised usage analytics may be retained indefinitely

6. Your Privacy Rights (Global)

Depending on your location, you may have some or all of the following rights over your personal data:

  • Access — request a copy of the personal data we hold about you
  • Rectification — correct inaccurate or incomplete data
  • Erasure — request deletion of your data ("right to be forgotten") — GDPR Art. 17, CCPA
  • Portability — receive your data in a machine-readable format — GDPR Art. 20
  • Restriction — limit how we process your data
  • Object — object to processing based on legitimate interests
  • Withdraw consent — where processing is based on consent
  • Opt out of sale — we do not sell personal data. California residents (CCPA) may confirm this at any time.
  • Non-discrimination — we will never treat you differently for exercising these rights

To exercise any of these rights, email hello@helixlondon.co.uk. We will respond within 30 days (or within the shorter period required by your local law). You also have the right to lodge a complaint with your local data protection authority — for example, the ICO (UK), a national EU supervisory authority, the OPC (Canada), or the relevant authority in your country.

7. Cookies

We use cookies and similar tracking technologies:

  • Essential cookies — required for the platform to function (session management, authentication)
  • Analytics cookies — anonymised usage data to improve the platform (can be opted out)
  • Preference cookies — remember your settings and preferences

You can manage cookie preferences in your browser settings. Disabling essential cookies will affect platform functionality.

8. Security

We implement industry-standard security measures including:

  • TLS/SSL encryption for all data in transit
  • AES-256 encryption for data at rest
  • Bcrypt password hashing
  • Regular security audits and penetration testing
  • Role-based access controls for internal staff
  • Two-factor authentication available for all accounts

In the event of a data breach that poses a risk to your rights, we will notify you and your local data protection authority within 72 hours of becoming aware, as required by GDPR and equivalent applicable law.
